It started as a sole proprietorship, gradually adding employees and digital printing machines until it was converted into a GmbH (limited liability company). By far the most popular products are bachelor's thesis folders. Consequently, many motivated students have their meticulously crafted theses printed at the Mainz branch.

Focus on young people

The printing company offers high-quality digital prints, which are particularly popular with young people. 80% of the orders are for bachelor's and master's thesis portfolios. Many motivated students have their lovingly crafted works printed at the Mainz branch.

Switch to the Business One Cloud

They learned about conesprit GmbH through a family friend and promptly contacted Managing Director Roman Douverne. At the start of the collaboration, a test database was implemented, which met with great satisfaction from the client. „"Everything just fit perfectly."“, says Christian Albert.

And so it began wi-druck.de GmbH, The company integrated SAP Business One Cloud into its operations using conesprit. From database setup to go-live, the entire process took exactly two weeks. Training sessions were held online. To transmit the journal entries generated in SAP Business One to the tax advisor, the general ledger account determination was coordinated with the tax advisor. At the end of each month, the journal entries automatically generated in SAP Business One can now be imported into DATEV.

Mr. Albert was particularly impressed by the simple and user-friendly implementation of the software, which required no major changes at the printing company. Fields and functions in the SAP system were arranged in such a way that no adjustment was necessary compared to the previous invoicing program. 

High administrative burden with old programs 

With all these offers and the large number of orders, a significant amount of accounting and administrative work is required, which the internal systems must handle. Initially, an invoicing program popular with small businesses was used. This program was employed for three and a half years. As the database grew, the system reached its limits.

The system took about 30 minutes to process four documents – a lot of time in a modern company, during which little value-adding activities can take place.  

The old system's functionality also left much to be desired. The invoicing program didn't allow the company to analyze product data and sales figures—statistics crucial for a business's market positioning. The old system could only handle basic tasks: delivery notes, invoices, customer management, quotes, order confirmations, and credit notes. And all these documents were posted to a single account. 

Faster processes with the new software 

The switchover has now taken place, and the wi-druck.de GmbH It works with SAP Business One Cloud. What has changed since then?

The printing company uses the SAP system to manage, in particular, quotes, delivery confirmations, outgoing invoices, and incoming payments. Mr. Albert highlights the software's speed as a major advantage, saving considerable time compared to the old system. "It's now possible to quickly map everything we need."„ 

According to Albert, the most ingenious feature is that SAP Business One Cloud allows you to collect a customer's delivery notes and invoice them cumulatively at the end of the month. This significantly reduces accounting and administrative effort. Because invoices are issued in consolidated form, the numerous individual orders from a single customer don't need to be invoiced one by one; instead, a single entry at the end of the month is sufficient to accurately manage the amounts and supporting documents.

The infrastructure behind the software also offers advantages to the printing company. The SAP system runs in the cloud, enabling multiple people to work on it from any location.  

The old invoicing program, on the other hand, could only be used offline at a single location. Therefore, SAP Business One Cloud does not block any background systems, and work can continue normally during the booking process.  

The old system was migrated to the SAP Business One Cloud at a fair price – quickly and easily.
